Deletion is permanent and may affect records that your company relies on for customers, jobs, proposals, invoices, warranties, and accounting. We verify the request and the requester’s authority before acting.
Submit an account deletion request
Email the request
Use the email address associated with your account and the subject “Job4Site account deletion request.” Never include your password or full payment-card number.
Identify the account and scope
Include your full name, Job4Site account email, company or workspace name, your role, and whether you want to delete only your user account or the entire company workspace.
Complete verification
We may ask for information reasonably necessary to verify identity, company ownership, administrator authority, and the intended scope. We will not ask for your password.
Receive confirmation
After a verified request is processed, we will send confirmation and explain any data that must remain for a lawful or documented business purpose.
Choose the correct deletion scope
Delete your sign-in and profile.
An individual user may request deletion of their Job4Site authentication account and personal profile. Company business records created or handled by that user may remain in the company workspace because the HVAC company controls those records and may need them for customers, accounting, warranty, safety, or legal obligations.
Delete the company account and associated workspace.
Only a verified owner or authorized representative may request deletion of an entire company workspace. We may require additional verification because this can affect every user and erase operational records for the business.
Removing a staff member is different. Company owners and authorized administrators can manage staff access in Job4Site. If you only need to end a team member’s access, use staff management or contact support instead of requesting deletion of the whole company workspace.
What a verified request can delete
The exact data depends on the verified scope, account configuration, and lawful retention requirements. A completed individual-account deletion is intended to remove or de-identify the user’s authentication account and personal account profile. A completed company-workspace deletion is intended to remove or de-identify the company’s associated Job4Site data, including as applicable:
- company settings, team profiles, roles, and permissions;
- customers, service addresses, equipment, jobs, schedules, notes, and job photos;
- products, services, templates, proposals, package choices, invoices, and recorded payments;
- uploaded company content and active customer-facing proposal or invoice access managed through the deleted workspace;
- optional integration credentials and active connections within our control; and
- support information that is not needed for security, legal, accounting, or dispute-resolution purposes.
Deletion from active Job4Site systems does not cause information already exported, emailed, synced, or submitted to a third party to be deleted from that third party. Contact the recipient, QuickBooks, Stripe, Apple, Google, or another provider directly about information it independently controls.
Information that may be retained
We may retain limited information when permitted or required for tax, accounting, payment reconciliation, fraud prevention, security, abuse investigation, legal compliance, recordkeeping, dispute resolution, or the establishment, exercise, or defense of legal claims. Examples can include transaction records, consent or acceptance evidence, deletion-request records, and security logs.
Residual copies may remain in protected backups until they are overwritten in the ordinary course. Information that has been de-identified so it cannot reasonably be linked to a person may be retained. A company may also retain records that it independently controls, including business records associated with a deleted staff user. Any retained information remains subject to appropriate access restrictions and is used only for the reason it was retained.
We do not promise that every request will result in immediate or complete erasure where retention is legally permitted, technically required for backup integrity, or necessary to protect the rights of the subscribing company or another person. We will explain the scope of a verified request and any applicable exception in our response.
Prepare before the account is removed
- Save or request a copy of records your company must preserve. Deleted records may not be recoverable.
- Cancel recurring billing through the Job4Site billing portal or the original App Store, Google Play, or payment channel. Deleting an account and canceling a subscription are separate actions.
- Complete or transfer open proposals, scheduled work, invoices, warranties, and customer communications.
- Disconnect QuickBooks and other optional integrations. Information already sent to those services remains governed by their terms.
- If you used Sign in with Apple or Google, you may also remove Job4Site from the provider’s connected-app settings. We will take required steps for authorization tokens stored within our control.
If an HVAC company has your information
Homeowners and other customers who receive a Job4Site proposal or invoice generally do not have a Job4Site user account. The HVAC company decides what customer, equipment, job, proposal, and invoice information it enters and how long it must keep its business records. Contact that HVAC company first to request access, correction, or deletion.
If you cannot identify the company or need help routing a request, email support@job4site.com with the company name and enough information to locate the relevant record. Do not send unnecessary sensitive information. We may refer the request to the company that controls the record.
